The challenge

When a company scales rapidly, its internal processes often struggle to keep pace. This is exactly where one of our partners, Chiro Marketing, found itself: the market kept evolving, but the digital clutter backstage kept growing right along with it.

The team was platform-hopping constantly: running sales in HubSpot, managing projects in Trello, and tracking time in Everhour. This fragmentation didn't just drain time — it carried real business risk, since a valuable lead or a critical task could easily slip through the cracks in a disjointed system.

The solution: a modular ClickUp rollout

After recognizing the problem, Chiro launched extensive market research and put together a detailed wishlist for their future system. We stepped in after a LinkedIn conversation — and we weren't looking to sell an off-the-shelf product, but to build a genuine partnership.

Instead of just ticking off feature lists, we ran a multi-round series of deep discussions to understand the company's DNA: how they work, what feels intuitive to them, and where the hidden efficiency bottlenecks were. After brainstorming together, the choice was clear: ClickUp, for its unmatched flexibility.

Sales pipeline & CRM

The most critical area was centralizing sales: we migrated and optimized the process running on HubSpot into ClickUp's customized environment, delivering an immediately more transparent pipeline.

HR & knowledge base

Next came automating HR processes (like onboarding) and building an internal, central knowledge base, making the team's know-how searchable and accessible to everyone — saving significant time on training.

Project management & integrations

Finally we migrated the projects managed in Trello, then integrated their existing time-tracking software, Everhour, through API connections and webhooks so the two systems communicated seamlessly.

Challenges and shared solutions

  • The human factor: rolling out a new system causes anxiety for any team, so alongside building it we supported the team through the transition with ongoing training.
  • Data security: migrating years of data out of Trello and HubSpot was one of the project's most critical points, so we verified the process on a smaller test migration before the live switch.
  • Cost & timeline: we planned the project transparently with a roughly three-month timeframe and a budget of 1.5–2 million HUF, then jointly prioritized new needs that came up along the way, like migrating the entire Trello database.
